Position Summary
The Personal Assistant provides high-trust administrative logistics for the Office of the CEO. Daily responsibilities include managing scheduling details, coordinating meeting logistics, arranging corporate travel, and maintaining the smooth flow of documents, expenses, and follow-ups—enabling the CEO to focus on strategic matters. The role demands absolute discretion, flawless organization, and professional English.
Key Responsibilities
- Manage and prioritize the CEO’s calendar, scheduling meetings, confirming attendees, and resolving conflicts.
- Coordinate meeting logistics and capture concise minutes with clear action items.
- Arrange domestic and international corporate travel—flights, hotels, itineraries—and prepare expense reports for timely reimbursement.
- Serve as initial point of contact for internal departments and external parties requesting time with the CEO; screen requests and channel information to the executive-office workflow when strategic alignment is required.
- Maintain document-management systems, ensuring version control, signatures, and secure storage of confidential files.
- Track follow-ups and deadlines stemming from CEO meetings; send reminders to owners and update status dashboards.
- Prepare drafts of emails, letters, and short briefing notes in English (Spanish a plus) and proofread for clarity and tone.
- Handle sensitive information with strict confidentiality and professionalism at all times.
- Run confidential errands and time-sensitive personal tasks for the CEO with absolute discretion.
Qualifications
Education
- Associate’s or Bachelor’s degree in Business Administration, Communications, or related field.
Experience
- 3+ years of administrative support to C-suite or senior executives.
- Documented ability to maintain strict confidentiality.
Skills & Knowledge
- Expert calendar management and meeting-logistics coordination.
- Strong attention to detail and ability to multitask under tight deadlines.
- Clear, concise writing and proofreading; ability to adapt tone for diverse audiences.
- Proactive problem-solving and ability to anticipate executive needs.
- Comfort working across time zones and adjusting to shifting priorities.
Preferred Qualifications
- Advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint) and familiarity with expense/scheduling tools (e.g., Concur, Calendly).
