Position Summary
The Administrative Assistant provides high-quality administrative and logistical support to multiple C-level executives at CFE International. Core duties include complex calendar coordination, meeting and event logistics, corporate travel management, expense reconciliation, and document preparation. The role interfaces daily with internal teams and external partners, requiring strong organization, professionalism, and strict confidentiality.
Key Responsibilities
- Coordinate and prioritize executive calendars, scheduling meetings across time zones and resolving conflicts.
- Organize meeting logistics and record concise minutes with clear action items.
- Arrange domestic and international travel, including flights, hotels, ground transport, and detailed itineraries.
- Process and reconcile expense reports and purchase-card transactions in compliance with company policies.
- Prepare, format, and proofread documents, presentations, and spreadsheets in English and/or Spanish.
- Maintain document-management systems, ensuring version control and secure storage of confidential files.
- Serve as liaison between executives and internal/external stakeholders, screening inquiries and routing information.
- Track deadlines and follow-ups stemming from executive meetings; send reminders and update status trackers.
Qualifications
Education
- Associate’s or Bachelor’s degree in Business Administration, Communications, or related field.
Experience
- 3+ years of administrative support.
- Documented ability to maintain strict confidentiality.
Skills & Knowledge
- Expert calendar and travel coordination.
- Strong attention to detail and ability to multitask under tight deadlines.
- Clear, concise written and verbal communication.
- Comfort working across time zones and adjusting to shifting priorities.
Preferred Qualifications
- Advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint) and familiarity with expense/scheduling tools (e.g., Concur, Calendly).
